A missed call may be a new enquiry, an existing member or a wrong number. A callback process should establish the reason for contact before launching a sales conversation. Link every attempt to the original enquiry and keep permission, contact preference and unresolved status visible to the team.

Workflow and information contract

Check whether the original call produced a message or an existing case. Apply the business approved callback rules and contact window. Start with a neutral explanation of the return call, ask whether it is a suitable time and identify the request. Close the loop with a confirmed action or a clearly assigned staff follow-up.

Acceptance test and expected result

Test a missed call from an existing member who only needs opening hours. It should not become a new prospect campaign. Simulate a caller asking not to be contacted again and verify that pending retries stop. Test a wrong number and confirm that the record is corrected rather than repeatedly retried.

Limits and human handoff

A missed call does not automatically authorise unrelated marketing. Keep callback purpose narrow and have the responsible team define applicable permission rules. Do not measure success solely by how many return calls were placed; measure whether the original request was resolved.
