The design decision

Veterinary phone lines may need to route appointments, pharmacy questions, billing, referrals, laboratory results and clinical concerns to different people. Intelligent routing is useful only if it recognises the administrative category without turning that classification into clinical advice. The call context should travel with the handoff so staff can respond efficiently, while urgent or ambiguous concerns follow the practice-defined escalation path.

Workflow and information contract

Capture the practice, caller goal and only the minimal identifiers needed for routing. Map routine categories to reception, pharmacy, billing or other configured destinations, and mark clinical or uncertain concerns for the approved clinical route. Check destination availability before transfer and preserve a structured summary. If no one answers, create the designated callback or message rather than sending the caller back through the whole menu.

Acceptance test and expected result

Test appointment, billing, prescription, referral, laboratory-result and symptom-related calls. Include closed departments and failed transfers. Verify correct non-clinical routing, immediate use of the clinical escalation path where configured, preserved context and a visible fallback outcome for every destination that does not answer.

Limits and human handoff

The routing model must not determine whether a symptom is safe to wait, recommend medication or interpret laboratory results. Practice staff define which categories are clinical and how urgent concerns are handled. A transfer attempt is not a completed handoff until the destination answers or an approved alternate record is created.

Prepare a VoiceAvo implementation review

Use this guide to prepare a specific VoiceAvo implementation review, not as a promise that every described action is enabled in every account. Confirm the selected telephony provider, supported integration, staff responsibilities and failure path before activation. Begin with synthetic records and approved test destinations. Keep a dated record of expected and actual results, and approve production use only after the business owner has reviewed the evidence. For this workflow, bring the following information: practice, intent, routing category, clinical flag, destination, transfer outcome, context summary and fallback.

Use a repeatable acceptance checklist

Open the workflow acceptance kit and review the implementation checklist. These are scenarios to run, not claimed product test results.
