The design decision

Returns calls combine policy interpretation, order history, product eligibility and customer expectations. A useful AI customer-service workflow should determine which policy branch applies without inventing exceptions, then create the appropriate return request only when the commerce system accepts it. The caller should leave knowing what was actually approved, what remains pending and when a human must review the case.

Workflow and information contract

Identify the order and item, retrieve the current return policy and product-specific eligibility, then collect the customer reason using structured categories plus a short note. If the item is eligible, request a return or exchange through the configured system and store its confirmation identifier. If eligibility is unclear, the window has expired or the item has a special restriction, create a staffed review rather than improvising a policy exception.

Acceptance test and expected result

Run synthetic cases for an eligible unopened item, an expired return window, a damaged product, a non-returnable category and an exchange with unavailable stock. Verify that only the eligible automated case receives a confirmed return identifier and that every exception reaches the correct human queue with the original order and reason preserved.

Limits and human handoff

A conversational response is not a refund approval. Never state that money has been returned until the payment or commerce system reports that outcome. Do not ask for full payment-card details. Policy exceptions, suspected fraud, chargebacks and high-value disputes should follow the merchant-approved human process with a visible audit trail.

Prepare a VoiceAvo implementation review

Use this guide to prepare a specific VoiceAvo implementation review, not as a promise that every described action is enabled in every account. Confirm the selected telephony provider, supported integration, staff responsibilities and failure path before activation. Begin with synthetic records and approved test destinations. Keep a dated record of expected and actual results, and approve production use only after the business owner has reviewed the evidence. For this workflow, bring the following information: order identifier, item, eligibility result, return reason, requested remedy, workflow confirmation and review owner.

Use a repeatable acceptance checklist

Open the workflow acceptance kit and review the implementation checklist. These are scenarios to run, not claimed product test results.
