The design decision
Dental scheduling can be automated effectively when the practice defines which appointment types may be booked without clinical judgment. New-patient exams, hygiene visits, routine follow-ups and treatment appointments may have different durations and provider requirements. A receptionist should use those configured rules and the live calendar rather than selecting an appointment type from free-form symptoms.
Workflow and information contract
Identify the practice and whether the caller is a new or existing patient using the approved verification flow. Ask for the administrative appointment category, query compatible provider and duration rules, offer valid slots and submit the chosen time. For rescheduling, keep the original appointment until the replacement is accepted so a failed change does not silently leave the patient without a booking.
Acceptance test and expected result
Use synthetic new-patient, hygiene, follow-up and rescheduling cases plus a symptom-based request outside administrative scope. Test a full calendar and a replacement slot that disappears during confirmation. Verify that the original booking remains intact after a failed reschedule and that clinical questions reach staff.
Limits and human handoff
Do not diagnose pain, choose treatment or assess clinical urgency from the conversation. Appointment categories, provider rules and new-patient requirements must come from the practice. Medical records, consent, payment disputes and emergency questions belong to the approved clinical or administrative staff process.
Prepare a VoiceAvo implementation review
Use this guide to prepare a specific VoiceAvo implementation review, not as a promise that every described action is enabled in every account. Confirm the selected telephony provider, supported integration, staff responsibilities and failure path before activation. Begin with synthetic records and approved test destinations. Keep a dated record of expected and actual results, and approve production use only after the business owner has reviewed the evidence. For this workflow, bring the following information: practice, patient status, appointment category, provider rule, current appointment, selected slot, confirmation and escalation.
Use a repeatable acceptance checklist
Open the workflow acceptance kit and review the implementation checklist. These are scenarios to run, not claimed product test results.
