The design decision

Repair-status calls can consume significant front-desk time, but the information must remain faithful to the workshop record. “In progress” may mean diagnosis, waiting for approval, waiting for parts or active repair, and each state carries a different customer expectation. The voice agent should translate configured work-order states clearly without inventing completion estimates that the technician has not provided.

Workflow and information contract

Verify the caller using the workshop-approved method, locate the active work order and read its current customer-visible status. Where the system exposes a next action, such as approval required or parts pending, explain that state and route the caller to the responsible team if further decision is needed. Record the status enquiry so staff can see repeated contact or unresolved concerns without changing the work order itself.

Acceptance test and expected result

Create synthetic work orders in diagnosis, awaiting approval, waiting for parts, repair, testing and ready-for-collection states. Verify that each is described distinctly and that only the ready state is reported as ready. Test a missing work order and an internal note that is not marked customer-visible to confirm that the voice response does not expose private technician content.

Limits and human handoff

Never infer a completion date from elapsed time or a generic service category. Internal notes, technician opinions and customer-private data should follow workshop visibility rules. Repair approvals, added costs, warranty decisions and disputes require the approved human or secure workflow rather than a status bot making binding statements.

Prepare a VoiceAvo implementation review

Use this guide to prepare a specific VoiceAvo implementation review, not as a promise that every described action is enabled in every account. Confirm the selected telephony provider, supported integration, staff responsibilities and failure path before activation. Begin with synthetic records and approved test destinations. Keep a dated record of expected and actual results, and approve production use only after the business owner has reviewed the evidence. For this workflow, bring the following information: caller verification, work-order reference, customer-visible status, next action, responsible team, enquiry timestamp and escalation.

Use a repeatable acceptance checklist

Open the workflow acceptance kit and review the implementation checklist. These are scenarios to run, not claimed product test results.
