The design decision

Viewing booking requires more than placing an event on a calendar. The agency may need to confirm that the listing is active, choose the correct agent or office, respect access windows and avoid double-booking. A voice workflow should turn a caller request into a confirmed viewing only when those conditions are satisfied, while keeping unsuccessful requests visible for staff follow-up.

Workflow and information contract

Capture the listing identifier, caller contact details and preferred time window, then check the active listing and the configured viewing calendar. Offer only valid slots, confirm the caller selection and submit the booking. Re-read the property, date, time and meeting instructions after the system accepts the appointment. If access or agent availability requires manual confirmation, create a pending viewing request instead of presenting it as booked.

Acceptance test and expected result

Test an active listing with a free slot, a slot taken during confirmation, a withdrawn listing, a viewing requiring agent approval and a caller asking for two properties. Verify that only accepted calendar events are called confirmed viewings and that pending/manual cases retain the property and preferred times for the assigned agent.

Limits and human handoff

Do not reveal private access codes, occupant details or seller instructions that are not approved for the caller. The system should not promise that a property remains available until the viewing or that an appointment gives the caller priority. Cancellations, no-shows and rescheduling need explicit workflow states rather than silent calendar edits.

Prepare a VoiceAvo implementation review

Use this guide to prepare a specific VoiceAvo implementation review, not as a promise that every described action is enabled in every account. Confirm the selected telephony provider, supported integration, staff responsibilities and failure path before activation. Begin with synthetic records and approved test destinations. Keep a dated record of expected and actual results, and approve production use only after the business owner has reviewed the evidence. For this workflow, bring the following information: listing identifier, listing state, caller contact, preferred times, offered slot, booking confirmation and access notes.

Use a repeatable acceptance checklist

Open the workflow acceptance kit and review the implementation checklist. These are scenarios to run, not claimed product test results.
