The design decision
A waitlist call is an offer governed by the practice rules, not an automatic entitlement to a newly available appointment. The workflow needs to know who may receive the offer, how long it remains valid and what happens when several people respond. Keep clinical prioritisation outside the assistant unless an approved clinical system has already made that decision.
Workflow and information contract
Use an authorised waitlist selection from the practice system. Confirm the permitted contact method and explain the available administrative option. Recheck that the slot is still available when the recipient responds. Record acceptance only after the scheduling system confirms the booking, then update the waitlist through the approved process.
Acceptance test and expected result
Offer one synthetic cancellation slot to the permitted test sequence and simulate two near-simultaneous acceptances. Only one appointment should be confirmed. Test an expired offer and an unavailable recipient. Verify that the assistant does not select the next patient based on an improvised judgement about medical urgency.
Limits and human handoff
The practice owns waitlist ordering, clinical priority and eligibility. Do not disclose other patients, claim a held slot when none exists or imply that accepting a call changes clinical priority. Escalate uncertain selection or booking conflicts to authorised staff.
